AP Specialist

This position is responsible for providing administrative and clerical services which includes processing and monitoring vendor payments, foreign associate payments, cost uploads, staff/attorney reimbursements, the firm’s rush check at multiple remote office locations, and ensuring the proper posting and accounting for related account payable ledger entries.

• Responsible for auditing all invoices and expense reimbursements to ensure that the proper general ledger or client cost and vendor/attorney is properly charged in Chrome River.
• Ensure that all rush check payables are processed for the firm at multiple offices locations or ACH batches to the bank, by the established deadlines (twice daily per office).
• Ensure all approved payable vouchers are uploaded from Chrome River to 3E are processed and paid in a timely manner in accordance with firm policies.
• Prepare vendor checks for mailing and ACH batches to bank.
• Process manual checks as and when required.
• Process weekly future payment check runs in accordance with established procedures.
• Ensure all cost loads are processed and recorded as scheduled (daily or weekly basis).
• Process the firm’s approved foreign associate payments and upload to 3E on a daily basis in accordance with the firm policies.
• Respond to attorneys, staff, vendors, and clients related to payment and information needs.
• Maintain accounts payable vendor and staff/attorney files.
