Job Description

Our client, a fast growing Private Equity firm, seeks a detail-oriented and proactive Administrative Assistant to join their Investment Team in NYC. As an Administrative Assistant, you will play a critical role in ensuring the smooth operation of the team by managing schedules, coordinating travel, and handling various administrative tasks. The ideal candidate will thrive in a fast-paced, dynamic environment and possess exceptional organizational skills.

***Qualified candidates will have 2+ years of administrative experience supporting investment professionals, preferably within a hedge fund, private equity, or financial services firm. Only qualified candidates will be contacted.***

Key Responsibilities:

  • Manage complex calendars for multiple investment professionals, including scheduling meetings and calls.
  • Coordinate domestic and international travel arrangements, including itineraries and logistics.
  • Prepare and process expense reports in a timely manner.
  • Support the preparation of reports, presentations, and correspondence for investment meetings.
  • Handle confidential information with professionalism and discretion.
  • Serve as a liaison between the investment team and internal/external stakeholders.
  • Maintain filing systems, databases, and other organizational tools.
  • Assist with team projects and ad hoc tasks as needed.

Qualifications:

  • Bachelor’s degree required.
  • Minimum of 2 years of administrative experience supporting investment teams in a hedge fund, private equity, or financial services firm.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
  • Proficiency in Dynamo preferred.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and ability to prioritize multiple tasks effectively.
  • Experience in a fast-paced, high-pressure environment.
