Job Summary:

Are you a strategic, people-focused leader with a passion for operational excellence in healthcare? We’re looking for a Director of Operations to oversee and elevate the performance of our clinical and administrative teams in a fast-paced, patient-centric environment. This is a high-impact role that sits at the intersection of leadership, operations, and strategic planning, reporting directly to the Executive Director of Finance and Operations and working closely with our CEO, founding physician, and Director of Revenue Cycle Management.

You’ll be responsible for managing the day-to-day operations of our largest department, leading a diverse clinical team—including rheumatologists, NPs, PAs, nurses, RTs, and assistants—alongside our growing administrative staff. With a focus on innovation, patient satisfaction, and cost efficiency, you’ll help drive the next chapter of growth and excellence for our practice.

Key Responsibilities:

🧑‍⚕️ Team Leadership & Development

  • Lead, inspire, and manage a large clinical team and a growing administrative team (currently 8 FTEs).
  • Conduct performance reviews, provide mentorship, and foster a culture of accountability, growth, and collaboration.
  • Approve hiring and terminations; manage staffing needs and PTO requests to ensure optimal team performance.

📊 Reporting & Analytics

  • Deliver actionable insights through regular reporting:
  • Nurse inbox and triage time metrics
  • Monthly reports on lost-to-follow-up patients and incomplete diagnostic tests
  • Daily call center monitoring
  • Tracking no call no show patients
  • Collaborate with leadership on inventory and productivity reports.
  • Partner directly with the Executive Director to set and monitor monthly provider performance goals, ensuring alignment with organizational objectives and strategic growth initiatives.

🏥 Operational Management

  • Oversee day-to-day clinical and administrative operations, streamline workflows, and resolve scheduling conflicts.
  • Ensure high levels of team productivity and patient satisfaction.
  • Lead budget oversight and cost containment through smart vendor negotiation and inventory control.
  • Ensure compliance and regulatory readiness.
  • Oversee and manage all technical aspects of the organization’s phone system, including troubleshooting issues, coordinating with vendors, and ensuring system functionality and reliability.

🔄 Cross-Departmental Collaboration

  • Work closely with the billing and finance teams to align operational strategies with revenue cycle goals.

🤝 Vendor & Systems Management

  • Maintain strong relationships with vendors across clinical and administrative supplies, labs, imaging, IT, and our EHR provider.
  • Assist our Health Systems Senior Manager with EHR upgrades, IT system issues, and vendor integrations.
  • Assist the Senior Manager with PACS system and imaging workflow improvements, in partnership with technical partners

🛠️ Technology & Equipment Oversight

  • Ensure equipment is operational and up to date, including ultrasound, x-ray, centrifuges, infusion pumps, in-house pharmacy equipment, phone system, office equipment, and diagnostic workstations.

· Monitor call volume data to ensure adequate staffing during peak times. Coordinate with teams to minimize missed calls or long wait times.

  • Oversee contract negotiation and management related to clinical services and technology.

📦 Inventory & Supplies Management

  • Maintain cost-effective supply chains, including critical medication inventory and medical equipment.
  • Develop and maintain a supply forecast to avoid shortages or overstocking of office supplies. Reconcile clinical invoices and ensure budget alignment.

🎯 Strategic Initiatives & Incentives

  • Develop and execute monthly team-based incentive programs to drive performance to align with company goals and control costs.
  • Contribute to both short- and long-term strategy planning for operations growth and efficiency.

📅 Meetings & Communication

  • Lead weekly management huddles and quarterly team meetings.
  • Represent the clinical and administrative team in executive leadership discussions.

Competencies:

  • Proven leadership experience in clinical operations or healthcare administration.
  • Financial experience in expense management and reporting.
  • Excellent communication, conflict resolution, and problem-solving skills.
  • Experience with EMR systems and reporting/analytics platforms.

Education and/or Experience:

· Bachelor’s degree in Health Services/ Healthcare Administration/Management or related field

· 7–10+ years of progressive leadership experience in healthcare operations, specifically within physician group practices, outpatient care centers, or multi-specialty clinics.

· Strong background in healthcare compliance

Physical Requirements:

· Ability to lift up to 15 lbs.

Work Environment:

· This position is based in an in-person, office setting.

· Onsite in Delray Beach, FL

 

Compensation Range: $80,000- $110,000 Based on experience.
