Job Title: Practice Manager

Location: Englewood, NJ – 100% onsite

Job Type: Contract to Hire or Direct Hire

Schedule: Full-Time; M-F 7a-5p hours of operation

Job Summary: Seeking an experienced and detail-oriented Business Office Manager to oversee all aspects of the business office at a premier Ambulatory Surgical Center. This role is crucial in managing office relationships, insurance verification, surgical scheduling, patient communication, and billing coordination. The ideal candidate will ensure smooth and efficient operations, from insurance verification to confirming patient financial responsibilities.

Key Responsibilities:

  • Lead the insurance verification process for all scheduled procedures, ensuring thorough confirmation of coverage, pre-authorizations, and benefit details.
  • Communicate with insurance companies to resolve discrepancies, confirm approval statuses, and follow up on pending claims.
  • Act as the primary point of contact for patients regarding insurance coverage and financial responsibility, explaining benefits, costs, and payment expectations.
  • Collaborate with referring physicians, insurance companies, and other healthcare providers to streamline the billing and claims process.
  • Oversee the preparation and timely submission of insurance claims, addressing any issues or denials promptly.
  • Manage the day-to-day operations of the business office, ensuring efficiency, accuracy, and compliance with industry standards.
  • Supervise and train office staff, maintaining high standards of service and accuracy in all administrative tasks.
  • Prepare reports for the CEO, tracking key performance metrics such as claims approval rates, patient payment collections, and outstanding insurance issues.
  • Provide regular reports on financial and operational performance, including insurance verification status, patient balances, and the status of claims.
  • Assist in making strategic decisions regarding case volume, payment structures, and patient communication strategies.

Qualifications:

  • Bachelor's degree in Business Administration, Healthcare Management, or a related field is required.
  • Minimum of 3 years of experience in a business office or administrative management role within a healthcare setting, preferably in an ambulatory surgical center. 5+ years of experience preferred.
  • Strong experience in insurance verification, authorization, and claims management.
  • In-depth knowledge of insurance policies, medical billing codes, and reimbursement processes.
  • Strong proficiency in Microsoft Word and Excel, with the ability to create and manage documents, spreadsheets, and reports efficiently.
  • Excellent communication skills with the ability to interact effectively with patients, insurance providers, healthcare professionals, and internal staff.
  • Proven ability to manage multiple tasks simultaneously, with strong organizational skills and attention to detail.
  • Strong leadership skills and experience in supervising staff.

Preferred Skills & Experience:

  • Previous experience in managing a business office for an ambulatory surgical center or similar healthcare environment.
  • Expertise in coordinating between multiple stakeholders, including insurance companies, patients, and healthcare providers.
  • Ability to analyze financial data and provide insights to improve operational efficiencies.
  • Strong problem-solving abilities and proactive in addressing challenges in billing or insurance verification.
